POSITION SUMMARY:   
The Event Sales Specialist is responsible for generating revenue for the Academy via sales of the Academy event spaces.  This position reports to the Associate Director Facility Rentals and is responsible for the promotion, sales, and rental of Academy facilities for the public, and private events in the corporate, non-profit and social markets.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Sales

  • Achieve or exceed assigned annual event sales revenue goals in the following markets: Wedding, Social, Fundraisers, Proms and Daytime Meetings
  • Actively prospect to develop new business via networking events and tradeshows
  • Conduct weekly outside sales calls with new and existing clients
  • Participate in local tradeshows to prospect new business
  • Attend networking and industry events in assigned markets on a weekly and monthly basis
  • Conduct meetings with caterers and vendors to generate leads and ensure smooth communications with Facility Rentals Department resulting in flawless execution of events
  • Meet with key clients, destination management companies, catering companies, wedding and meeting planners quarterly to increase Academy's exposure to their customers and understand trends
  • Ensure timely follow-up with clients, before and after sales calls or tradeshows and respond to incoming leads within 24 hours
  • Manage sales process from initial contact through booked event
  • Schedule client Academy site visits and familiarization activities to sign new clients
  • Develop accounts to their fullest potential of revenue production by meeting with clients and obtaining referrals
  • Work with Sales and Marketing Assistant to develop marketing programs to optimize revenues for all market segments and increase lead funnel
  • Build strong relationships with Academy departments involved with the execution of events
  • Meet and greet clients day of event and attend a portion of the event as needed and act as back-up for Facility Rentals department team members as needed

Administration

  • Track all sales activities, contracts and client interactions utilizing Salesforce
  • Execute facility rental agreement when term negotiations are complete
  • Take full responsibility for confirming all initial planning, site visit, and logistical details for assigned events, prior to hand off to Event Services Coordinator  
  • Maintain a good working knowledge of all public areas of the Academy
  • Follow all Academy safety regulations
  • Other duties as assigned

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required or preferred. 

EDUCATION and/or EXPERIENCE:
A qualified candidate will possess a combination of the following education and/or equivalent experience:

  • Bachelor's Degree from an accredited college or university, or
  • Sales background in events including prospecting, sales calls, and proven negotiation and closing skills (2 to 3 years' experience)
  • Experience working with Customer Relationship Management systems (CRM) such as Salesforce or similar 

KNOWLEDGE, SKILLS & ABILITIES:

  • Professional appearance and demeanor
  • Excellent organizational skills with great attention to detail
  • Excellent written and oral presentation skills
  • Must be able to work evenings and weekends and travel domestically as required
  • Must be able to travel locally to conduct sales calls and attend networking events and tradeshows
  • Ability to work well with others and to communicate and collaborate in a professional team environment
  • Demonstrated track record to conduct high volume of business on the telephone and via email
  • Proven track record to achieve revenue goals for a cultural facility, hotel, museum, attraction or associated venue
  • Ability to work independently and to prioritize high workload to balance unscheduled requests with ongoing major project timelines
  • A high degree of computer literacy (Google Suite, Excel, Word, PowerPoint)    

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence. Ability to speak effectively before groups or individuals.  Bilingual (spoken and/or written) in Spanish, Cantonese, Mandarin, or other non-English language preferred but not necessary.
