POSITION SUMMARY:  
The Capital Project Coordinator works closely with the Capital Projects Manager on the completion of facilities construction and capital improvement projects.  Projects include all areas of building maintenance - HVAC, grounds, exhibits, aquarium life support systems and scientific collections. 

The ideal candidate is an excellent communicator who is diplomatic as well as assertive and can liaise effectively with building engineers, building maintenance, electrical and control systems staff. This position reports to the Capital Projects Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Develops and assembles requests for proposal, solicits bids, evaluates bid responses
  • Estimates project costs and reviews project scope so that projects can be delivered within budget.
  • Works with legal staff to develop contractual conditions of performance.
  • Coordinates and facilitates meetings as necessary to ensure the continuing progress of the project.
  • Manages the process with consultants, vendors and contractors from design through construction, installation and project completion.
  • Liaise with CAS departments and outside contractors to ensure close coordination of calendars, timelines, and project plans.
  • Manages and mitigates risks to project goals, schedule and budget.
  • Manage building documentation, updates operations and maintenance libraries, and fulfills requests for information from source documents.
  • Other duties as assigned

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:
A qualified candidate will have a combination of the following experience and/or equivalent education:

  • Bachelor's degree (BS) or equivalent from four-year college.
  • Five years relevant experience in a commercial project management, either in a trade or as a consultant; or an equivalent combination of education and experience.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong computer skills, Windows, Microsoft Office, MS Project or other project management software packages and basic use of AutoCAD.
  • Ability to interpret and modify building construction documents, including building drawings
  • Ability to generate and interpret technical documents.
  • Excellent organizational skills
  • Strong verbal and written communications skills, with the ability to articulate complex technical information to others.
  • Ability to follow supervisor's instructions and ask for direction and assistance when necessary.

LANGUAGE SKILLS:
Ability to read and interpret documents in English including technical documents.  Ability to write routine reports and correspondence in English. Ability to speak effectively before groups or individuals.  Ability to make a large volume of phone calls and communicate effectively with a diverse workforce. Ability to coordinate with multiple external vendors. 

PHYSICAL DEMANDS & WORK ENVIRONMENT:
The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • While performing the duties of this job, the employee is frequently required to stand, sit, walk, and reach with hands and arms, and talk or hear.
  • Must be able to lift 50 lbs.
  • Must be able to climb a ladder and work on aerial lifts.
  • Must be able to wear Personal Protective Equipment including a respirator and harness.
  • Must be able to perform repetitive motion 80% of the time.
  • This position is required to work hours as the project demands, including early hours, evenings, weekends and overtime as needed.

The primary work schedule for this position is 8:00am - 5:00pm daily, Monday through Friday, however occasional changes to this schedule will be required to manage after-hours construction projects.   While performing the duties of this job the employee is frequently required to stand, sit, walk, reach with hands and arms, talk and hear.  Must be able to perform repetitive motions 20% of the time.  Must be able to lift up to 50 lbs.
