POSITION SUMMARY:
The HR Operations Specialist will be responsible for implementing and managing a variety of HR projects to support a great employee experience.  Some of these projects include our annual performance management and increase process, updates and changes to our HR systems, and a future HRIS implementation.  This role will be the primary administrator of our HR systems and provide support and backup for key Benefit processes.  This role will report directly to the Associate Director, Human Resources and will interact with all levels of employees to resolve numerous issues with a high degree of confidentiality and customer service oriented approach.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Human Resources Systems

  • Project Manager for key HR projects and is responsible for the planning, roll out, and providing timely status updates
  • Manages system upgrades, changes and identifies and works with vendors to resolve any issues
  • Responsible for the annual increase performance management set up and launch in Wingspan (Silkroad)
  • Manages the annual Merit increase timeline, including working with Finance to create increase spreadsheets, analyze data, including pay equity and prepare and test HRIS data upload
  • Maintains and updates the Employee Handbook, including updates to policies and procedures and implements the electronic acknowledgment process
  • Works closely with the Payroll Manager on cross collaboration projects for HR and payroll
  • Administers HR systems and oversees the data related to the employee life cycle, includes new hires, separations, and changes to employee statuses in ADP Workforce Now (HRIS) and other HR systems.
  • Responsible for high-level data analysis and generates reports on HR trends around hiring, separation, pay equity and other routine compliance reports.
  • Performs periodic audits to ensure the accuracy and data integrity of the employee life cycle data
  • Responsible for I-9 compliance and E-Verify processes and ensures we keep accurate and timely records for all staff.
  • Provides backup to the HR Assistant for the data entry of employee status changes, employment verification, and online unemployment claims.
  • Responsible for updating content and co-delivering Supervisor 101 training on HR systems
  • Follow all Academy safety regulations
  • Other duties as assigned

Benefits
Works closely with Benefits Manager to provide support in the following areas:

  • Working closely with the Benefits and Payroll Manager, the HR Operations Specialist ensures successful implementation of TIAA 403b retirement portal, ADP benefits site and related changes and upgrades
  • Responsible for creating and providing reports to the Benefits Manager on a variety of topics, such as monthly benefits premium billing reports, ACA, 403b eligibility, HCSO, and other customized reports
  • Processes enrollments and changes for health benefits, retirement, COBRA reimbursements, commuter benefits, and other employee health and welfare benefits.
  • Provides backup to Benefits Manager for assistance with 403b retirement remittance, benefit orientations, Leave of Absence process and Workers compensation administration, and other benefit areas

A qualified candidate will possess a combination of the following education and/or equivalent experience:

  • Advanced experience with HRIS systems (preferably ADP Workforce Now) and other HR systems
  • Bachelor's degree (B.A.) or equivalent education and minimum of 5 years recent and related HR experience; or equivalent combination of education and exposure to multiple HR disciplines
  • Strong project management experience, ability to manage projects and meet project goals

KNOWLEDGE, SKILLS & ABILITIES:

  • Demonstrated success in prioritizing and organizing multiple projects and tasks
  • Knowledge of payroll and timekeeping systems, such as Kronos
  • Strong analytical and problem-solving skills, looks for creative solutions and proactively resolves issues
  • High degree of computer literacy (Excel, Word, PowerPoint, google docs) and ability to interpret HR data to analyze trends
  • Self-motivated, proactive, and capable of working on own initiative and as part of a team
  • Flexible and able to pivot as priorities change, enjoy multi-faceted work
  • Collaborative and enjoys working with diverse groups of people; maintains an open and friendly attitude
  • Strong written, verbal, and interpersonal communication skills.
  • Attention to detail, highly organized and able to maintain confidential information.
  • Basic knowledge of US Employment laws

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups or individuals.  Bilingual abilities are highly desired. Bilingual (spoken and/or written) in Spanish, Cantonese, Mandarin, or other non-English language preferred.
